Caretaking & Grounds Maintenance:

  • Block A - The Jordans (Main block) - Sofa dumped at the side of building - to be removed by the bulk team.
  • Rear of The Jordans - Small rubbish items to the end of building have been dumped - Wayne arranged for removal.
  • Block B - Bed and mattress have been dumped outside - Wayne raised for removal.
  • Block B - Communal Garden Area - requires grass cutting - Wayne raised.
    laundry room - Garden area - Mattress dumped outside - Wayne arranged for removal.

Repairs:

  • Block A - The Jordans (Main block) - Main Door at Jordans - wooden panel at the bottom is loose - Dean arranged to renew it.

Tenancy:

  • Block A - The Jordans (Main block) - no concerns within the building or the communal areas.  
  • 50 The Jordans - still has an SPS metal door - email sent to Customer Services for an update as this should be a standard door.

  • To the front, rear and one side of the block, ivy is growing up the building - estates to clear & treat.

  • New drain cover required for external drain by the entrance - repair to be raised.

  • Several untidy designated gardens - Letters to be sent. Various household items left within communal areas - Letters to be sent.

Viking Court Estate Inspection

Outcome of inspection:

Caretaking & Grounds Maintenance:

  • Mr Ali - Accumulation of growth of weeds outside of windows 20 and 38 - Passed to estates team to attend - 18/6/25.
  • Mr Ali - 4 x communal benches require varnishing - Email sent to the estates team to renew the varnish on communal benches - also email sent to Laila, Resident engagement in relation to painting and planting or any work which can be incorporated with the residents within Viking Court - contact given to liaise with Geoffrey, resident.
  • Drainage concerns mentioned by residents - Caretaking team both advised that they clear the walkway drains when onsite and these have been completed 18/6/25.
  • Security concerns mentioned by residents - Bushes have been removed from the rear side of Viking Court so that anyone can now walk into the small rear communal garden area - passed on to estates to see if they are able to replace this with a new shrub - 18/6/25.

 

Repairs:

  • Mr Ali - The Communal side gate - Clive Schwarz, the Surveyor is already dealing with the issue of the gate and will be renewing new locks, which will be for SEH staff to access only when its renewed - Tenants had asked about a spring mechanism and a closer mechanism behind the lock to close the gate - advised them that its currently with the surveyor.
  • Flat 11 - Lower door Panel - Email sent to repairs today to renew the lower door panel for flat 11 which is boarded up, possible re-charge if tenant is not able to provide an incident number - 18/6/25.
  • Mr Ali - Courtyard ball shaped lights need cleaning and servicing - Sent email to repairs 18/6/25, to request the attendance of contractors to clean and service 4 x courtyard lights - Advised that they may require a cherry picker due to height of lights.
  • Mr Ali - Outside lighting on east and west of Viking Court not working - Email sent to repairs with photographs to show the lighting for someone to attend and fix it, also given a contact number for Geoffrey, to liaise with and to meet him on site, to show the correct lighting not working - 18/6/25.
  • Mr Ali - Security communal door lighting not fit for purpose/not working - Email sent to repairs 18/6/25 for the communal door lighting and the surrounding building lighting not working - added for contractor to liaise with the caretaking team for a key to access the blue cupboards which will be needed to complete the jobs of fixing the lighting which is not working.
  • Mr Ali - Intercom panel on the communal entrance door - next to flat 24 is not working properly - problems with flat intercoms also - Email sent to repairs 18/6/25 for Blakes to attend as although the door closes, sometimes the green light on internal intercoms for the flats, are showing constantly green, indicating the doors always open.
  • Balcony joins on the communal walkways - causing leaks and damp - Issues the surveyors already are aware of - to look at the next actions going forward - to liaise with Geoffrey with any updates - 18/6/25.
  • New Get in Touch leaflets passed to tenants of 3 flats while on site and explained how to use to raise own repairs, ASB, tenancy or estate concerns.


Tenancy:

  • Mr Ali - The 4 motorcycle Sheds - Email sent with photographs to Graham Hart, to see if the outside building was previously used as motorcycle storage, and if it can still be used for this purpose, due to health and safety concerns and previous vandalism to the building/sheds - 18/6/25.
  • Mr Ali - Missing Communal food waste bins and liners - Contact report sent to Suez.co.uk to attend, to renew the bins and provide bin liners for the food waste bins - 18/6/25.

West Road Estate Inspection

  • A resident reported about the gardens to the front of the block are always overgrown. Unsure of caretaking schedule. 
  • Common room - could do with a hoover/clean 
  • Gardens out the rear of odd numbers at Avon Way looking neat and tidy and well looked after 
  • Garage sites at Chelmer Way full of rubbish


Repairs:

  • Glass panel is cracked on 1st floor landing balcony.
  • Main door to West Road/Avon Way is not closing constantly opening and closing. Already reported to customer services. Repair reported
  • Water damage to bin shed - possible new door 

Tenancy:

  • Block 49/51 — Bike on ground floor stairwell and items in drying area
  • Both sheds are unlocked and full of items. Bikes mobility scooter
